TERMS OF REFERENCE FOR THE SECRETARY
1. The Club Secretary is responsible to the Chairman for the tasks delegated in these terms of reference.
2. The Secretary is responsible for all correspondence within the Club and is required to maintain a workable filing system.
3. The Secretary is required to visit the British Forces Post Office in Dhekelia Garrison at least once per week to collect Club mail.
4. A stock of stamps, envelopes and paper purchased at Club expenses to be held. Bills for such purchases are to be presented to the Treasurer for payment.
5. When meetings are held the Secretary is required to take and reproduce the minutes.
6. The Secretary is required to maintain the Club membership and subscription record in such a form as can be presented for audit at the end of each audit period. A current membership list is to be published on the Club notice board.
7. The Secretary is to ensure that membership records, including temporary membership, are filed and maintained for at least 5 years.
8. The Secretary is to ensure that flying records are maintained in perpetuity.
9. The Secretary is required to maintain the Club notice board, ensuring that the material displayed is current, attractive and of interest.
10. The Secretary is required to control the Club keys by issuing them only to those people who require one as part of their Club duties.
11. In consultation with the CFI the Secretary is to maintain a qualification print out which is to be displayed on the notice board.
